Auction Items
Let's learn about adding Silent and Live Auction Items to your event.
These are your first steps:
- Click on the 'Items' tab.
- Click on the blue "Add Item" button.
- Choose "Auction Item" from the pop-up window, as shown below.
First, enter your item information. Be sure to fill out all fields with an asterisk(*), as these are required. If numbers or text appear yellow, information is missing or incorrect.
Then scroll down on the form to fill out the bidding parameters (see below).
Once you enter the retail value, our system will automatically calculate your minimum bid and bid increment. Value and cost should be number values only; no dollar signs or decimals.
If you would like to add a "Buy It Now" price, be sure you price it ABOVE retail value.
If this is a live auction item, toggle the grey "silent" button to "live." This will display the item on your event site with a "Live" banner over the item image.
For silent auction items, you can leave the toggle as it is, set to "silent."
Only an Event Organizer can place the winning bid in the Event.Gives Manager Portal for in-person live events.
If you would like your retail value to NOT display on your event site, click the circle with three dots and choose the appropriate option.
Next, add at least one item image. You can upload up to nine images for each item. Images need to be in either JPG, PNG, or, GIF format and no larger than 4Mb.
Click the circle with three dots on an image to remove it or make it the primary image. Click the Advanced Crop button to adjust how the image appears.
Click "Save and Close" to finish adding the item to your site.
You also have the ability to Publish or Unpublish items from view on your event site. Not publishing your item allows you to continue adjusting item details.
Have a long list of items you need to add to your event?
Now you can add your items in bulk by selecting the "Bulk Actions" menu! We provide example CSV files of the required information to successfully upload your items.
Please note, all columns that have a numerical value within the example will also need a numerical value, even 0 (zero), in order for the upload to be successful.
Some helpful tips if you bulk upload items:
- Cost - this is where you could input the FMV / Retail Value of the item
- Reserve - this is the item's Minimum/ Starting bid
- Buy Now option - if you would like to have an option for your attendees to buy the item you can put the amount here. If you do not want to have this option, please input a numerical value of $0.
It's that easy! Hover over any of the "i" icons within the 'Items' tab for more information on that section.
Fixed Price Items
If you are selling t-shirts, stickers, or any item with a fixed price, follow these directions to create them as "Fixed Price Items".
On your manager portal, click on the 'Items' tab. Next, click the blue "Add Item" button.
Click "Fixed Price Item."
From here, you can enter the item details, such as title, description, images, and tags.
You can also set the tax rate and shipping cost, item price, quantity (how many are available to sell), and item options such as size or meal selection.
You can also add advanced options. Once addd these options can be reordered. To do so, click "Reorder."
Next, drag and drop the options to the desired position or click "Top" to move the item to the top of the list.
You can also affiliate a sponsor with this item, as shown below:
When you want the item published to your attendee site, toggle the icon to show "Yes" with a green background (shown above).
Select "Save" or "Save and Close." Your fixed-price item is created and ready!
Raffle Items
Raffles are a fun way to engage your attendees and raise money for your cause!
To create a Raffle Ticket, follow these steps:
- Click on the 'Items' tab.
- Click on the blue "Add Item" button.
- Choose "Raffle Ticket" from the pop-up window, as shown below.
4. Enter a title and description.
5. Enter a ticket price, ticket quantity, and retail value. If the quantity is unlimited set the number beyond what you think will be sold.
6. You can add up to 9 images to each item. The ideal image size is 1125x450.
7. If you have a ticketed event, you can choose to have your raffle tickets also appear for sale with your event tickets by clicking the checkbox to the right of Show on Event Ticketing.
Vote/Donate Items
One effective way to increase donor engagement is to create a type of competition where attendees donate to enter votes for a winner.
You determine what dollar amount counts as one vote, although typically $1 = 1 vote (ex. a $10 donation for Morgan = 10 votes for Morgan).
Vote to Donate is similar to peer-to-peer fundraising: you assign the items to different fundraising teams, dancers, or anything that you would like to be “voted on." Guests will donate in order to vote for their chosen competitor for each item. The competitor who raises the highest donation amount wins!
For interactive fundraising (peer-to-peer fundraising, Dancing with the Stars, 5ks, or any other type of fundraising in which donors are donating towards a specific person or competitor), you can create an item following these steps:
Under the "Items" tab, select "Add Item".
Click "Vote/Donate Item."
You will then enter your item details (title, description, images, etc.).
This is an example of how a Vote to Donate/Fund a Need would appear on your attendee site:
