The Event.Gives seating portal makes it effortless to design your venue and start assigning seats in moments—saving you time and creating a smooth experience for your attendees. The venue designer allows you to not only add tables and affiliated seats, but reference points such as a stage, bar, entrance way, and more! In this article, we will review setting up your event venue. Event venues can be edited at any time throughout your event.
Adding Room Elements (Stage, Bar, Doors, etc.)
1. Once logged in, locate and click into your event. After clicking into your event you will land on your venue editor, pictured below.
2. At the top of the page, you will see the "EDIT VENUE" tab selected. We will remain in this tab while creating the venue. Click here for more information on assigning seats to your supporters.
Before placing tables, it’s important to add reference points to help visually orient the layout of the space. These reference points are not tables—they are fixed room elements that help distinguish key areas such as the front or back of the room. For this example, we’ll add the following:

Stage – This indicates the front of the room where speakers or performances will take place.

Bar – Helps define social or gathering areas.

Entryway Door – Gives our team will enter the space, helping with traffic flow and check-in planning.
First, we will start with the stage.
1. To add a reference point hover over the button with the "+" sign.
2. Next, choose the shape of your reference point. Since we are adding a stage, I am going to choose the square.
*Please note: The square icon and the circle icon at the top are room elements. The bottom square table and circular table icons are tables.
3. After adding, it will appear as a "Bar." On the right hand side, you are able to edit this name for your own reference. For this example, we will be renaming this element "Stage." Once renamed, click the "Save" button in the upper right hand corner to save your progress.
4. Next, we will be adding our entry doors. Once added, we will adjust the "Dimension" fields on the right hand side to reduce the size in comparison to our already added "Stage."
5. After adjusting the size of the element, we are going to rename it, pictured below. After doing so, click "Save."
6. Next, we are going to add our final room element, the bar. This bar is going to be circular and to the right of the entry doors. To add this element, hover over the "+" sign and choose the circle icon, pictured below.
7. Once added, we will rename the element to "Bar" and click "Save."
Adding Tables
1. For this example, we will be adding 8 large, circular tables. Each of these tables will contain 6 seats. In the back of the room, we will be adding 4 smaller, square tables. Each of these smaller, square tables will contain 2 seats.
We will first add our 8 tables, each containing 6 seats. To do so, hover over the blue "+" button. Next, choose the circular table icon at the bottom, pictured below.
2. Once added, your table will appear with 4 seats. From here, you can click "+ Add" to add more seats this table. Or, click "- Remove" to remove seats from the table.
For this example, we will click the "+ Add" button twice to give us a total of 6 seats. After doing so, click "Save."
3. Now, we are going to utilize the duplicate feature. You can easily duplicate a table or room element by clicking the blue "Duplicate" button. After clicking "Duplicate," the item will appear on top of the original table or room element.
4. Once duplicated, click and drag the second table to place it where it will be in the room.
5. We will repeat the process of duplicating this table until we have the correct amount. For this example, we will repeat this process 7 times, until we have 8 total tables with 6 seats each. When you are done, click "Save."
6. Next, we will add the 4 smaller, square tables. Each of these tables will contain 2 seats each. To do so, hover over the blue "+" button. Select the square table, pictured below.
7. Once added, drag it to where the table will be within your venue. Next, click the "Remove" button to the right. This will remove a seat. For this example, we need these tables to have 2 seats each. To do so, we will click "Remove" twice until it reads "2 Seats."
8. Next, we need to add 3 more square tables, with 2 seats each. To do so, click "Duplicate." For this example, we will be clicking "Duplicate" three times.
9. All of your recently duplicated tables may appear similar to the image above. To place them click and drag the tables, one by one, to the desired location. Once your venue is complete, click "Save."
