Here are suggestions on how to manage a successful check-out for your event:
An hour before the end of the event
At least one person should be at the checkout table one hour before the end of your event to complete checkout and answer questions for guests who depart early.
All checkout team should be at their stations thirty minutes prior to auction end.
Event end
The previously designated staff member or volunteer will hit the red “Close Event” button at the end of your event. This will present a popup window asking if you would like to notify winners and send payment links.
Checkout
Checkout staff and volunteers will welcome the winning bidders and ask for names or winning item name or number. Input the winner's first or last name into the 'Attendees' tab search bar to locate their profile and view their cart (click their name, and then click the cart icon). From here, you will be able to see if they have already paid for their item(s)/donation(s). If they have not yet paid, you will confirm the card on file or get a new card from them to input, and then you will charge the card on their behalf; if there are checkboxes to cover credit card fees and/or platform fees, make sure that you confirm whether they'd like to cover them or not.
Follow-up notifications
You can resend the payment link on the 'Event Messaging' tab. This only goes out to people with outstanding payments, so you can resend it as many times as necessary. You can send out the Pickup Message from the 'Event Settings' tab. This only goes to people who have won items.
Event follow up
All winners and attendees will get a receipt emailed to them if they provided their email when they registered for the event. Continue to contact winners who have not completed payment or picked up their items until all have been retrieved and paid for. Thank attendees for their generosity and tell them how much the event raised if that is of interest.
